Air Doctor AI Assistant — Privacy, Security & Terms of Service

This document explains how Air Doctor AI Assistant ("we," "our," "us") collects, uses, discloses, and protects information when you access or use our AI-powered assistant, mobile app, website, or related services (collectively, "Services"). By using our AI Assistant, you agree to these terms and the Privacy practices described below. If you do not agree, do not use the Services.

1. Who We Are & Scope

Air Doctor is a global travel health platform connecting travelers, expats, and mobile professionals with licensed local medical providers for in-clinic, at-hotel, or virtual consultations anywhere in the world. Air Doctor also supports prescription facilitation and assistance in accessing medical care abroad.

The Air Doctor AI Assistant is an AI-powered tool designed to provide general informational support about travel health, assist you in understanding how to request services, and help answer questions to optimize your use of Air Doctor's platform. The AI Assistant does not replace professional medical advice, diagnosis, or treatment.

2. Your Consent, Control & Data Rights

By using the AI Assistant, you expressly consent to the collection and use of your information as described here.

You retain rights over your personally identifiable information ("PII") and health-related inputs you provide. You may access, correct, export, or request deletion of your PII according to applicable law and as described in the section Your Rights & Choices.

3. Information We Collect

A. Anonymous Usage

If you interact with the AI Assistant anonymously (no login):

  • No personal account data is required.
  • We may collect minimal technical details (e.g., session metadata, browser type).
  • Health-related inputs may be processed transiently for the session and not stored long-term.

This information is not linked to a personal identity unless you create or log into an account.

B. Registered Users / Air Doctor Accounts

Users who log in or sign up through Air Doctor's platform may provide:

  • Contact details (name, email, phone)
  • Travel details (location, trip info)
  • Consultation history
  • Insurance details (if linking a policy)
  • Optional input to the AI Assistant (symptoms, questions)

With your consent, we may retain and process this data to facilitate doctor search, appointment bookings, and prescription support through Air Doctor's provider network.

C. Analytics and Tracking Technologies

To improve our Services and understand how users interact with our platform, we use the following third-party analytics and monitoring tools:

  • Google Analytics 4: Collects anonymized usage data including page views, user interactions, device information, and general geographic location. IP addresses are anonymized. Google Privacy Policy

These tools help us diagnose issues, optimize performance, and enhance your experience. Data collected through these services is subject to their respective privacy policies. You may use browser settings or extensions to limit tracking if desired.

4. How We Use Your Information

We use collected information to:

A. Provide & Improve the AI Assistant:

  • Understand your queries to offer relevant travel health information.
  • Improve service quality, AI accuracy, and service performance.
  • Help you navigate Air Doctor's medical provider network and offerings.

B. Deliver Core Travel Health Services:

  • Match you with licensed doctors.
  • Enable appointment booking and follow-ups.
  • Facilitate prescription support through local providers where available.

C. Operations & Security:

  • Enhance platform security, prevent fraud, and support customer care.
  • Conduct analytics and service optimization.

We do not use health-related data for third-party marketing or targeted advertising.

5. Information Sharing & Disclosure

We may share your data:

Only with your express consent:

  • Selected healthcare providers you choose to consult.
  • Travel insurers or partners you authorize.
  • Family members or personal representatives you explicitly designate.

As required by law:

  • Court orders, regulatory compliance, emergency response where necessary.

We do NOT:

  • Sell your health information or personal data.
  • Disclose data for external marketing without explicit consent.

6. Sensitive Information Handling

Any sensitive health data (e.g., symptoms, diagnoses, prescription requests) is treated with elevated protection. Only necessary information is shared with licensed providers to arrange consultations or prescriptions — always with your prior approval.

7. Security Practices

We use industry-standard protections:

  • Encryption in transit and at rest
  • Role-based access restrictions
  • Monitoring and threat detection
  • Secure hosting infrastructure

We maintain confidentiality of your information for as long as it is needed to provide Services or as required by law.

8. Breach Notification

In the unlikely event of a breach affecting your personal information, we will notify you promptly in compliance with applicable laws, describe what occurred, and outline steps you can take to protect yourself.

9. User Rights & Controls

You have the right to:

Requests are generally acknowledged within 30 days.

Our Services are intended for adults (18+). We do not knowingly collect data from minors. Any discovered underage data will be promptly removed.
